Effective Engagement Procedures

Waxahachie ISD is committed to providing outstanding service to its students, staff, and the broader community. The district prioritizes resolving concerns at the earliest opportunity and encourages open communication between families and school personnel. By promoting informal resolution and direct contact with the relevant authority—such as teachers, principals, or department heads—Waxahachie ISD aims to address issues promptly and efficiently. Adhering to the established communication protocol helps ensure concerns are resolved quickly and appropriately, benefiting all parties involved.

Communication Protocol

Contact Teacher or Coach

The most direct route to resolving a concern is for parents and guardians to first confer directly with the involved party (teacher, coach, etc.).
The great majority of questions and concerns are resolved by a conversation between those involved.
Use the district directory or your campus directory to locate contact information for your child's teacher or counselor.

Contact Principal or Assistant Principal

Principals and assistant principals are responsible for campus operations.
Explanations of policies and procedures, various clarifications, and all types of campus information are available in the campus administration offices.
Use the district directory or your campus directory to locate the contact information for campus administrators.
If necessary, conferences with involved parties can be arranged, and a suitable solution can be reached.
Informal resolution shall be encouraged, but shall not extend any deadlines in the complaints/grievances policy, except by mutual written consent.

Formal Resolution

Appeal → Level 1

If the previous informal steps of resolution have not resulted in a satisfactory conclusion, you may proceed to the formal process by filing an appeal.

Grievances are to be submitted at the campus level within 15 days of the incident.
The campus will conduct an investigation based on the report and convene a conference with the complainant within 10 days.
The original grievance form must be properly completed.
Efforts should be made to seek a resolution at the lowest possible level.
A written response outlining the basis for the decision will be provided within 10 days.

Level 1 Appeal Form

Appeal → Level 2

Level One decisions may be appealed to Student Services only after the prescribed process has been completed and a written appeal is submitted within 10 days of the initial decision.
A conference will be scheduled within 10 days of notification.
All information presented must pertain solely to the Level One issue.
A written response regarding the Level Two decision will be provided within 10 days.

Level 2 Appeal Form

Appeal → Level 3

A Level Two decision may be appealed to the Board of Trustees.
The written appeal must be submitted within ten days following the Level Two response.
The complainant is responsible for providing the time, date, and location for the appeal.
All records from both Level One and Level Two will be included in the proceedings.
The Board will consider the complaint; however, if no response is issued, the administrative decision at Level Two will be upheld.
